  • First name and surname initial (e.g., Sian J.) for session notes and coaching records.
  • Full name, email address, and contact details for invoicing and administrative purposes (stored securely in Canva and Google Drive).
  • Session content (notes, reflections, and progress) related to your coaching.

I do not collect or store sensitive personal data (e.g., health, racial/ethnic origin, political opinions, religious beliefs) unless you voluntarily disclose it during sessions.


2. How I Use Your Information

Your data is used only for:

  • Providing coaching services, including session preparation and follow-up.
  • Invoicing and financial record-keeping (full names are stored solely for this purpose).
  • Complying with legal and tax obligations.

3. How I Store and Protect Your Data

  • Session notes are stored digitally and contain only your first name and surname initial.
  • Invoicing data (full names, contact details) is stored in password-protected Canva files and Google Drive, with access restricted to me and my virtual assistant, who supports administrative tasks.
  • I use strong passwords, two-factor authentication, and encrypted connections to protect your data.
  • Data is retained for 7 years (UK legal requirement for financial records) and then securely deleted.

4. Who Has Access to Your Data

  • Only I (Katherine Mengardon) and my virtual assistant have access to your personal information. My assistant is bound by a confidentiality agreement and accesses data solely for administrative purposes (e.g., invoicing, scheduling).
  • I do not share, sell, or transfer your data to third parties, except where required by law (e.g., HMRC for tax purposes).

Under UK GDPR, you have the right to:

  • Access the personal data I hold about you.
  • Request corrections if any information is inaccurate.
  • Request deletion of your data (except where I am legally required to retain it, e.g., for tax purposes).
